Front Desk Receptionist/Administrative Assistant

Pope John Paul II High School is a Catholic, co-educational, college preparatory school. Established in 2010, JPII is the newest Catholic secondary school in the Archdiocese of Seattle with a current enrollment of 90 students. JPII was founded on the charism of Saint Pope John Paul II to educate young men and women who are intellectually strong, spiritually alive and committed to serving the needs of others.

Pope John Paul II High School is seeking a dynamic and outgoing individual to fill the full-time position of Front Desk Receptionist/ Administrative Assistant. The successful applicant will have excellent communication and organizational skills and will be capable of working in a fast-paced environment. This position begins August 2017. The successful candidate is a person with a strong desire to be a member of a Catholic, secondary educational community.

Basic Function
Provide direct administrative support to the Principal for Pope John Paul II High School.

General Duties:     

  • Primary first contact person for students and parents when they enter the School
  • Take daily attendance and follow-up with absentee students
  • Respond to student requests throughout the day
  • Maintain accurate database of student and parent information
  • Assist in data entry for student registration
  • Assist parents with application and registration processes
  • Maintain electronic and/or paper files for school business
  • Schedule appointments, make meeting arrangements, and maintain calendar for Principal
  • Process all incoming and outgoing mail
  • Respond to e-mail inquiries about the School
  • Answer telephone calls and return voice mails
  • Order and maintain School equipment and inventory of supplies under supervision of Business Manager
  • Process payments received and work with Business Manager to maintain financial records
  • Prepare correspondence, memos and reports under the supervision of Principal
  • Participate in administrative team meetings
  • Assist Athletic Director and Principal in scheduling use of outside facilities for School functions and athletics
  • Assist administrative team in the performance of their duties as requested
